Challenge
M&Y Data Solutions client is a market leader in the provision of document management and imaging services, scanning over 15 million pages every month. As an essential component of its document management services, the client required a superior data capture service provider that could accurately capture large volumes of data from images within four to twenty-four hour turnaround times and offering cost effective prices.

The client was becoming increasingly dissatisfied with internal data quality and training issues, increasingly short turnaround times, peaks and troughs of workload, and a saturated bureau market meaning low returns.

The client realized that they needed to change quickly in order to successfully deliver more complex and time critical solutions that were being continuously encountered in the marketplace.
Solution
After a month of discussions, the client decided to put M&Y Data Solutions claim to address all of the above shortfalls to the test. The client was delighted with the outcome and now after more than 4 years of successfully working together, M&Y Data Solutions manually data capture more than 40 million characters every month from approximately 2 million images for the client.

The daily process begins with the client scanning all paper documents within their large document imaging facility, which maintains approximately 50 high speed scanners. After scanning is complete, all scanned images are uploaded to M&Y Data Solutions dedicated ftp server. Upon notification from the client, M&Y Data Solutions global delivery centre in China begin to download the scanned images, whereupon the scanned documents are distributed to permanently assigned operators for data capture. Data entry operators key and verify all data contained within the images to achieve guaranteed accuracy levels of 99.99%.

Within the required turnaround time, the data capture results are collected and presented in the required format as specified by the client and uploaded to M&Y Data Solutions ftp server. M&Y Data Solutions data quality is further enhanced by providing exception reports, which are primarily used to highlight poor image quality and illegible handwritten characters.
